  • Your emergency contacts.
  • Your current or previous involvement with the station.
  • Your volunteering interests, skills and experience.
  • Your availability and programme preferences.
  • Correspondence and records relating to your volunteering.

We collect this information directly from you through forms, emails and conversations. We also use existing North Manchester FM volunteer records previously collected by authorised staff or representatives on the organisation’s behalf.

Please do not include sensitive personal information, such as medical details, in general form responses. If we need this information for a specific purpose, we will explain separately why it is needed, how it will be handled and the legal grounds for using it.

How we use your information

We use your information to:

  • Maintain accurate and up-to-date volunteer records.
  • Contact you about your involvement with North Manchester FM.
  • Provide relevant updates about the station and its transition arrangements.
  • Invite you to meetings, introductions, training and volunteer activities.
  • Understand your interests, experience and availability.
  • Plan volunteer roles, programme schedules and the station’s return to broadcasting.
  • Manage volunteering arrangements and support the station’s day-to-day operation.
  • Respond to questions and manage relevant concerns or complaints.

We will not sell your personal information or treat completion of the volunteer form as permission to send unrelated marketing.

Do you have to provide information?

Completing our volunteer form is voluntary. Required fields will be identified on the form.

If you do not provide relevant contact details, availability or other information needed for a particular role, we may be unable to contact you or arrange a suitable volunteering opportunity.

You can contact us if you would prefer to discuss your involvement directly.

Our lawful basis for using your information

For routine volunteer administration and operational communications, we rely on legitimate interests under Article 6(1)(f) of the UK GDPR.

Our legitimate interests are to manage North Manchester FM effectively, maintain contact with volunteers, coordinate volunteering opportunities and support the station’s continued operation.

We only rely on this basis where the use of information is necessary and proportionate, and our interests are not overridden by your rights and freedoms.

If we need to use your information for another purpose requiring a different lawful basis, we will explain this before doing so.

Who can access your information?

Access is limited to authorised North Manchester FM board members, staff and volunteer coordinators who need information to carry out their responsibilities.

This includes newly appointed board members acting on behalf of North Manchester FM. Access must be appropriate to each person’s role and subject to confidentiality requirements.

Board membership does not automatically provide unrestricted access to every volunteer record. Information may only be used for authorised purposes relating to North Manchester FM.

North Manchester FM Community Interest Company remains responsible for the information covered by this notice.

Service providers and other disclosures

We use external service providers where necessary to collect, store and administer volunteer information.

Where providers process personal information on our behalf, we require appropriate contractual and security arrangements.

We may also disclose relevant information to professional advisers, regulators or public authorities where necessary to obtain advice, meet a legal obligation or establish, exercise or defend legal claims.

Any disclosure must have an appropriate lawful basis and be limited to the information needed.

How we protect your information

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

These include:

  • Restricting access to people who need information for their authorised responsibilities.
  • Using appropriate account and access protections.
  • Requiring people handling volunteer information to maintain confidentiality.
  • Reviewing access when responsibilities change or someone leaves.
  • Securely deleting or disposing of information when it is no longer required.

How long we keep your information

We keep personal information only for as long as necessary for the purposes described in this notice.

When deciding how long to retain information, we consider:

  • Whether you remain involved with the station or are discussing a volunteering opportunity.
  • Whether the information is still needed to administer your volunteering.
  • Whether a legal or regulatory requirement applies.
  • Whether particular records are needed to resolve an outstanding complaint, dispute or legal claim.

We review records periodically and securely delete or anonymise information when it is no longer needed.

If your involvement ends, we will retain only information for which there is a continuing, justified need. We will not keep all volunteer information indefinitely simply because you were previously involved.

You can contact us for details about the retention of your particular records.

Your data protection rights

Depending on the circumstances and the lawful basis involved, you may have the right to:

  • Request access to your personal information.
  • Ask us to correct inaccurate or incomplete information.
  • Ask us to delete your information.
  • Ask us to restrict how we use your information.
  • Receive information in a portable format where that right applies.
  • Withdraw consent where we rely on consent. Withdrawal does not affect the lawfulness of earlier processing.

These rights are subject to applicable legal conditions and exemptions.

Your right to object

You have the right to object to our use of your information where we rely on legitimate interests, on grounds relating to your particular situation.

If you object, we will stop the relevant processing unless we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or the information is needed for legal claims.

To exercise your rights, contact us using the details at the beginning of this notice. We may need to verify your identity before disclosing information or acting on a request.

Automated decisions

We do not make decisions about your volunteering based solely on automated processing, including profiling.
